About NABHDesk

About NABHDesk

Most hospitals run their accreditation programme on a shared drive, a wall of box files, and one exhausted quality manager holding it together in a spreadsheet. It works, in the sense that hospitals do get accredited that way. It just costs far more of that person than it should, and it falls apart the moment they leave.

NABHDesk is an independent product. It is not affiliated with, endorsed by, or connected to NABH or the Quality Council of India.

We help you organise the work. We have no relationship with the body that assesses you, and nobody should tell you otherwise. See our Independence Notice.

Who builds it

NABHDesk is a product of Caresoft Systems Private Limited, a bootstrapped healthcare IT company with over twenty years in Indian hospitals. Our software runs in 1,000+ hospitals across India and in 12+ countries. We hold CMMI Level 5, ISO 27001 and PCI DSS certifications.

We have spent two decades watching hospitals prepare for accreditation from the inside — usually as the IT vendor being asked, three weeks before an assessment, whether the system can produce a report nobody thought about until then.

The pattern was always the same: the hospital knew what to do. It just had no way to keep track of whether it was actually doing it.

What it does

The full element library

All 639 objective elements across 10 chapters and 100 standards, with correct codes and tiers, reconciled against the published per-chapter totals.

Gap assessment and scoring

Score element by element, with evidence, against your declared scope. One assessment open at a time, so figures never drift.

Document control

Versioning, approval gates, automatic obsoleting of superseded versions, read acknowledgement — and obsoleted versions kept, not deleted.

Committees and minutes

Twelve standard committees, meetings, minutes, and action points that become tracked tasks rather than a line in a document.

Quality indicators

Monthly entry with unit-aware derivation, targets, 12-month trends, and HIS-pushed values badged so you know what came from where.

Incidents, RCA and CAPA

Major and sentinel events auto-raise an RCA task. An incident cannot close with an open CAPA, and a CAPA needs effectiveness verified.

Audits and drills

Checklist library, weighted scoring with NA properly excluded, and findings that automatically raise a CAPA on close.

Staff and equipment

Credentialing, training matrix, competency — plus PPM, calibration, statutory licences, breakdowns and recall notices.

Patient feedback and grievances

Anonymous by default. A poor score opens a grievance automatically, with severity-driven deadlines and no closing without recording what was done.

Plus record retention with a witnessed destruction register, a printable assessment-day pack, HIS integration, Excel import, and a read-only assessor role for showing your programme to a reviewer without risking anything.

Where the design decisions show

A few things in NABHDesk are deliberately harder than they need to be, because the easy version would let you produce a record that means nothing.

The constraintWhy it is there
Destruction is refused without a named witnessAn unwitnessed destruction entry proves nothing when it is questioned — which is exactly when it will be
An incident cannot close with an open CAPAClosing the incident and leaving the corrective action open is how the same event happens twice
A grievance cannot close without recording that the complainant was toldResolving a complaint without telling the complainant is not resolving it
Equipment downtime measured from when it was reportedNot from when someone got round to logging it. The gap between the two is the actual problem
Superseded documents are obsoleted, never deleted"What did the policy say at the time" is a question asked years later
Only one assessment open at a timeTwo open assessments and every dashboard silently reports on the wrong one
Applicability requires a written reason"Not applicable" with no reason is the first thing an assessor asks about

What we will not tell you

That this software will get you accredited. It will not, and nothing can.

Accreditation is granted on an on-site assessment of what your hospital actually does. A complete set of records is necessary and nowhere near sufficient.

The most common reason hospitals fail is the gap between what the policy says and what staff actually do. NABHDesk records the policy, the training, the acknowledgement and the meeting. It cannot tell you whether the night shift follows the protocol, whether the crash trolley is genuinely checked, or whether a nurse can explain the procedure when an assessor asks her.

A read acknowledgement records that someone clicked a button. It is not evidence that they read it, understood it, or do it. We built the feature because the standard asks for it — and we would rather say plainly what it is worth than let anyone mistake it for assurance.

Two honest things about our content

Our wording is ours, and it is an interpretation

We do not reproduce the published standards — that text is copyright, and it is not in the product. What NABHDesk contains is our own plain-language description of what each element asks for, written by us for a quality team to work from.

Someone at your hospital, with the published standards in hand, must check our wording against the actual elements before you rely on a readiness figure.

Where our wording and the published standard differ, the standard governs. Your hospital should hold its own copy — NABHDesk is designed to be used alongside it, not instead of it.

When you talk to us, ask which chapters have completed human verification and get the answer in writing. Any vendor who cannot answer that question precisely has not thought about it enough.

A readiness score is your team's opinion

It reflects what your own people recorded — their judgement, their evidence, their honesty about gaps. The platform cannot detect generous self-scoring, and generous self-scoring is how most quality systems fail. A high figure from an optimistic team is worse than a low figure from a rigorous one, because it stops the search.

It is not an accreditation score, not a prediction, and not evidence to a board or an insurer.

Your data

Four commitments, and the third is the one that matters most:

Held in India. Including uploaded documents, which are stored outside the web root rather than behind a configuration file.

Never sold, never used for our purposes.

Never shared between hospitals — in any form. No pooled benchmarks. No "hospitals like yours score X". No anonymised case studies drawn from your RCAs. Comparative quality data would be commercially valuable and we are not building it.

Never used to train AI models.

We also commit that audit trails are immutable and no member of our team may be asked to alter one — by you or by anyone. A quality system whose history can be rewritten is worth nothing.

How you get it

There is no self-service signup, on purpose. A stranger picking their own programme and bed category would get a readiness figure measured against the wrong scope — and a confident wrong figure is worse than no figure.

Request access, we review, we provision a correctly scoped tenant. Your first admin account is created with a random password and a single-use invitation link. No password is ever emailed.

Assessment week

Tell us your assessment dates and we register an assessment window — heightened availability, no scheduled maintenance, no library changes pushed into your tenant so your readiness figure cannot move underneath you, 30-minute response 24×7, and a named person reachable by phone.

It costs you one email, it is free on every plan, and it is in the SLA rather than being a favour we might do.
